Setting Up Notifications

To set up notifications to send during enrollments, use the Notification Templates and Notification Recipients forms.

Before you begin:

Set up Email Services. See.

To access the Notification Templates form:

1. Click (Back Office).
2. From System|Change, select Notification Templates. The Notification Templates form opens.

To access the Notification Recipients form:

1. Click (Back Office).
2. From System|Change, select Notification Recipients. The Notification Recipients form opens.

To access the Notification Control Panel:

1. Click (Back Office).
2. From Operations|Action, select Notification Control Panel. The Notification Control Panel opens.

Setting Up an Enrollment User

You must set up an enrollment user in PrismHR with the User ID called Enrollment. See.

The Enrollment user serves as the administrator and sender for all notifications. The email address set up on the user account displays in From for all notifications sent to employees and new hires. If this user account is not set up, the notifications engine does not send notifications.

The User ID must be as follows, spelled correctly, and with no punctuation: Enrollment

To test the Enrollment user:

1. In the Notification Templates form, set up a test notification template recipient.
2. In the Notification Recipients form, set up a test recipient.
3. In the Notification Control Panel, turn on the notification engine using a test client.
4. Send a test message from the Enrollment user to confirm that it is set up correctly.

If the Enrollment user is set up correctly, the test recipient receives the notification.

Setting Up Templates and Recipients

After you set up the Enrollment user, you can set up content for notifications in the Notification Templates form.

You can designate recipients for notifications in the Notification Recipients form.

The notifications that you create are available in the Workflow Library where you can add them to workflows.

Managing Notifications

To specify how often the system should send the notifications and to start the notifications engine, use the Notification Control Panel.

You can run the Notification Audit Report to review notifications sent to all recipient types (for example, employees, generic recipients, message groups).

Messages are also stored in the Messages center in PrismHR. You can also set up your SMTP server to retain a copy of every email sent.

Handling Undelivered Notifications

There are two possible circumstances that can result in notifications not reaching their recipient.

The email address is not entered correctly. For example, it is entered as @​prismhr.com​ instead of jsmith@prismhr.com.​ PrismHR logs this error but it is not accessible to the user. Users should contact the PrismHR Support Team.
The email address is entered correctly, but is otherwise not deliverable (for example, the email address is no longer active). In this case, PrismHR simply sends the email. There is no error log, and in most cases there is no way to know that it was not received. Many email servers are configured not to send notifications of undeliverable emails.

Tracking Notifications

To track notifications, set up the Notification Recipients form to send copies of all notifications to an administrator in your organization. This also enables you to forward notifications as needed.
